Sampling Costs for Custom Pouch Orders: What You Pay Before Bulk Production

Sampling is the part of a pouch order that buyers pay for twice if they skip it: once as a line item, and once as a production error shipped to 5,000 pieces. Sample costs vary by type, from free stock samples to paid fully-custom pre-production samples, and knowing which type a project needs is the difference between a two-day formality and a two-week development loop. This guide breaks down the sample stages, what each costs in money and time, and how to keep the spend from being wasted.

The three sample stages and what each answers

Stock samples answer the fabric question. They are cut from existing production fabric with existing construction, which makes them fast and cheap: at our factory, ready-made stock samples ship free within 1-2 days, and they tell a buyer whether velvet, cotton muslin or linen feels the way the brand imagined. Customized samples answer the artwork and construction questions: your logo, your Pantone reference, your size, produced on the sample line in 5-7 days. Pre-production samples answer the final question, whether the bulk line will reproduce the approved custom sample, and they are pulled from the actual bulk run before the line continues. Skipping the custom stage to save its fee pushes every artwork problem downstream to the pre-production check, where fixing it means stopping a scheduled line. The sequencing logic is the same one we walk through in our guide to the 10-day pouch prototyping timeline.

What sample fees actually buy

A custom sample fee buys three things: materials pulled from the same stock the bulk will use, sample-line labor at a fraction of bulk efficiency, and the attention of the technician who will set up the bulk run. That is why sample fees rarely scale with pouch count and why one revision round is usually included while extra rounds bill separately. Two questions keep the fee honest. First, ask whether the sample fee is credited against the bulk order, which many factories, including ours, apply when the bulk proceeds. Second, ask what the sample is made on: a sample sewn on the same machine class as the bulk line predicts bulk quality, while a hand-finished showpiece does not. Buyers who want third-party eyes on the result can route the approved sample into an inspection program such as SGS inspection services before releasing the bulk. Payment structure then follows our standard terms, T/T 30/70, with the sample stage settled before the 30 percent production deposit moves.

Keeping the sample loop short

Sample loops stretch for predictable reasons: artwork files that are not print-ready, Pantone references that arrive as screenshots, and size specifications that change after the first sample lands. Each of these adds a round, and each round adds days. The fixes are procedural. Send vector artwork with the first request. Reference physical Pantone chips, not screen colors, the same discipline our brand color accuracy guide recommends for printing. Freeze the size spec in writing before sampling starts. And when the order quantity is still under debate, read our analysis of first order quantities with a new pouch supplier before committing the sample, because sample economics change with the run size the sample is meant to precede. The full ordering flow, from inquiry through sample to bulk, is laid out in our 8-step ordering process.

Sample spend is insurance priced in days and dollars. Stock samples confirm the fabric in 1-2 days free, custom samples confirm the artwork and construction in 5-7 days for a fee, and pre-production samples confirm the line. Buy the right stage for the risk, credit the fee against bulk, and the pouch that ships is the pouch that was approved.
